Four routes to your first note
They all produce the same result: a transcript, separated speakers, a summary and tasks. Choose the route that fits the meeting, not an industry niche.
How do I record a meeting with the Chrome extension?
The extension captures audio from the active tab and your microphone without placing a bot in the participant list. It supports Meet, Teams, Zoom, Webex and GoTo when distribution is available for your account.
Step by step
- 1On the dashboard, choose “Chrome extension”. If the button says “Awaiting publication”, the installation channel is not available yet — use upload or microphone capture instead.
- 2After installation, sign the extension into the same account, open the meeting room and allow access to the active tab and your microphone.
- 3Notify the participants, select “Record”, then finish the recording after the call and keep the browser open until the upload completes.
If something fails
After an upload error, the local copy remains in the extension. Open it again and retry the upload or deliberately discard the file; do not start a second recording of the same call.
How do I upload an existing audio or video file?
This is the simplest route for a recording from a phone, voice recorder or a platform where Talkenda was not present.
Step by step
- 1On the dashboard, select “Upload recording”, then enter a clear title and the date of the completed meeting.
- 2Choose an audio or video file. One recording may be at most 500 MB and 3 hours long, and the file must contain an audio track.
- 3Keep the tab open until the upload finishes. Then open the new meeting — its status will show storage, transcription and summarisation in sequence.
If something fails
If the transfer is interrupted, return to the meeting that was created and choose the file again. The on-screen message distinguishes an oversized file, missing audio, excessive duration and an unsupported format.
How do I record an in-person conversation or voice note?
The dashboard recorder uses your device microphone. It works well for an in-person meeting, but does not separately capture sound from other browser tabs.
Step by step
- 1On the dashboard, select “Record live” and allow the browser to use your microphone.
- 2Notify everyone in the room, place the device near the speakers and check that the input-level indicator moves when someone speaks.
- 3Start recording, leave the tab open, then stop after the conversation and wait for the upload to complete.
If something fails
If the level indicator does not move, check the selected microphone and the site's permission in the address bar. After a save error, do not refresh immediately — the button can retry the retained recording.
How do I send the bot to an online meeting?
Paste a link manually or connect a calendar so Talkenda creates meetings and joins Meet, Teams, Zoom, Webex or GoTo automatically.
Step by step
- 1In Settings, connect Google Calendar or Microsoft Calendar and enable the relevant calendars, or add a meeting manually from the dashboard with its link and start time.
- 2Enable automatic recording for the event and make sure the link points to a supported platform. The bot appears as a visible participant.
- 3Notify the participants and admit Talkenda from the waiting room. The dashboard shows live whether the bot is joining, recording or already processing the file.
If something fails
If the meeting has already started, open its page and use “Call Talkenda now”. If the bot was not admitted, upload your own file to the same meeting instead of creating a duplicate.
Account, data and billing
The most common account tasks can be completed in Settings or the secure Stripe portal without contacting support.
How do I buy a plan, change my card or download an invoice?
Free needs no card. Plan purchases use Stripe Checkout, while card details, invoices and later changes are available in the Stripe portal without contacting support.
- 1.Open Settings → Plan and usage, compare the current allowances, and choose monthly or yearly billing.
- 2.Complete the payment on Stripe. Access starts only after a confirmed webhook, usually a few seconds after you return to Talkenda.
- 3.With an active plan, choose “Manage subscription and invoices” to update the payment method, download an invoice or change plan.
If something fails: Nothing is charged after a cancelled Checkout. After a failed payment, the panel displays the seven-day grace-period deadline and links to the card update.
Open plans and billingWhat counts towards my allowance and how long is data kept?
Minutes are charged only for a successfully processed recording, rounded up to a full minute. A failed upload or permanently failed processing job does not consume the allowance.
- 1.Settings shows used minutes, time reserved by running jobs, the remaining allowance and the exact renewal date.
- 2.Free includes 120 minutes and up to 5 meetings per month. On every plan, one uploaded file is limited to 500 MB and 3 hours.
- 3.On Free, the entire meeting expires after 30 days. Paid-plan transcripts remain until deletion; audio expires after 180 days on Pro or 365 days on Power and Team.
If something fails: When the allowance is exhausted, change plan in Settings and retry processing from the meeting page. Talkenda never charges for extra minutes outside the plan you selected.

The person starting a recording is responsible for notifying participants and having an appropriate legal basis. A visible bot helps, but does not replace the required notice.
- 1.Confirm the rule in the app before the first recording, then notify every participant before each conversation regardless of the recording route.
- 2.Move an unneeded meeting to Trash. You can restore it for 30 days or delete it permanently at once together with audio, transcript, note and tasks.
- 3.The Privacy and Security pages describe the data scope, EU location, retention and every organisation involved in processing.
If something fails: Include the meeting's technical identifier in a support request, but do not paste a transcript or recording. Human access to content requires separate, explicit consent for that specific case.

The import wizard accepts ready transcripts without running Whisper and diarisation again, or raw recordings that Talkenda processes from the beginning.
- 1.Export a transcript with speaker names and timestamps from the provider, preferably as SRT, VTT, TXT or CSV; a ZIP archive is also accepted.
- 2.In Talkenda, open “Move data”, choose Fireflies, Notta, Otter or another tool, and add no more than 20 files in one batch.
- 3.Review the preview, confirm your right to process the files and start the import. Ready transcripts become searchable immediately; notes may follow shortly afterwards.
If something fails: Re-export PDF, DOCX and XLSX files as SRT or TXT. The wizard provides a separate skipped-file report and will not create a duplicate when the same batch is retried.
Open importHow do I cancel a subscription or restore renewal?
Cancellation is self-service and takes effect at the end of the paid period. Until that date you keep the plan and can restore renewal yourself.
- 1.Open Settings → Plan and usage → Manage subscription and invoices to enter the Stripe portal.
- 2.In the portal, choose cancellation at the end of the period. After you return, Talkenda displays the exact date until which paid access remains active.
- 3.Before that date, return to the same portal to restore renewal. At the end of the period, the account automatically moves to Free.
If something fails: If the management button is absent, the account has no active paid subscription. Once it moves to Free, that plan's limits and 30-day meeting retention apply.

The same answers appear in the form on a meeting page. Try the relevant step first; if it does not help, the request automatically attaches safe technical diagnostics.
The bot did not join or was not admitted
Check the waiting room and bot invitation
Invite the Talkenda account to the event, admit it from the waiting room or call it again from the live meeting page. After the meeting, upload a file to the same meeting card.

Retry the transfer to the same meeting. The extension keeps a file after an error; uploads accept up to 500 MB and 3 hours and require an audio track.

Check status and do not upload a duplicate
A saved recording remains in the queue. When the status is Failed, use the retry button once; in other processing states the job resumes when the service returns.

Identify the issue without sending the conversation
Overlapping speech, noise and a distant microphone reduce accuracy. The case includes attempt parameters but no transcript; share a short excerpt only after a separate request.

Assign a voice on the meeting page
In participant editing, play a sample, assign the label to the correct person or merge two voices. The change applies to every segment carrying that label.

Edit a point or change the note shape
You can manually edit an individual point or task. For the whole note, select the right template and explicitly regenerate it after reading the replacement warning.

Check the connection and selected calendar
Reconnect the account in Settings if authentication is required and make sure the correct calendar is enabled. Declined events are not recorded automatically.

Billing is self-service in Stripe
Settings shows your limit and renewal date. The Stripe portal lets you update a card, download invoices, restore renewal or cancel it at period end.
